Release notes March 2020
Usability improvements
- In March, more than 300 elements were translated into Finnish across the system. All basic flows and interfaces are now covered. We will continue working on administrative interfaces.
- New filters added to the Calendar view:
- It is possible to search for shows and trainings that use or do not use the payments function and that use or do not use Equipe APP. You can simultaneously apply several filters. For example, organizers can search for their club´s shows and trainings, where financies are still open that might require their attention.
- Several improvements have been done to the mobile views interfaces.
For athletes and horse owners
Vaccinations
Solution to record and track the validity of horses´ vaccinations has been improved. This is the first step towards the introduction of randomized sample-based vaccinations control at show grounds.
- In KIPA, in addition to the vaccinations´ data synced from Hippos register, there is now a possibility to add vaccination records by users.
- User should add the vaccination data and veterinary name, if necessary also a comment:
After all vaccinations are added, KIPA controls and validates the vaccinations course based on the SRL national rule (365 days between subsequent boosters) and international rule (horse must have been vaccinated within 6 months and 21 days of the previous booster). The results of validation are shown on the horse profile together with the period of validity of the last vaccine. This enables the owner to check the validity regularly and timely plan the following vaccinations.
In the future, after the randomized sample-based control of vaccinations will be introduced, the up-to-date data on horse profile of the vaccinations records would save a lot of time and effort for show office - there will be less checks and control of vaccinations´ sequence will be easier.

For show organizers
Club discounts
- We have launched club discounts feature that many clubs have asked for. Now clubs can offer to their members a possibility to participate in shows at discounted rates.
- Club discounts should be added separately for each class:
- It is possible to add a special discounted rate for registration fee and for starting fee. Discounts do not apply for Federation fee and late-registration fee.
- During the registration to the show, discounted fees will be applied automatically. All transactions (returns, settlements etc) will be executed based on discounted fees.
- If athlete changes the club after registering to the show with discounted prices (for example, athlete belonged to AINO club and used a discount, but before the start of the show, payed the new annual licence and moved to another club), in this situation, the fees would be recalculated during the publishing of the results and athlete would have to pay the difference.
- If athlete joins the club that offers discounts to its members after paying the full price, he or she is not eligible for the compensation of the difference between standard and discounted prices.
- Short video about discounts: here.
- In addition to club discounts, an invite-list based discount option is planned and will be released during this season.
Cancel show
- A solution for organizers to cancel show or training has been developed and rolled out.
- When show is cancelled a reason for cancellation should be selected. For force majour situations, like Covid-19 pandemic or horses´epidemics, all fees are returned to the participants, incl the Federation fee. In other cases, all fees are returned for participants, but organizer should pay the cancellation fee, which equal the 3 EUR per entry. The list of reasons and returns conditions for each reason are configurable by the SRL from administrative interface of KIPA.
- There are two simple steps that organizer should do to cancel a show:
- STEP 1: cancel the show from the Actions menu -- the status of the show will be changed to Cancelled.
- STEP 2: settle the finances (including paying the cancellation fees to Federation) from the Finances page and Close the show finances:
- More information on the feature in a short video and written instructions.
Show invitation template
- Invitation templates are added for organizers to better structure the information about the show or training:
- There are 13 sections in the template, for each section, where applicable references to the regulations are added.
- TIP: after invitation is done and all necessary conditions specified, use Clone Show functionality to minimize the paper work for the next shows. Do not forget to check all the details after cloning.
- The functionality to add links to texts in invitation and in show / training editing form has also been developed - will be released in April.
Show financial reports
- Under the Balances section in Show Finances, there are two reports developed for organizers to track the state of the account in the show wallet.
- Revenues / Expenses report
- Balance Sheet
- Please note that to manage the show finances we use a double entry accounting principles and all transactions are recorded and traceable through the show accounts. For both reports, it is possible to get a breakdown by a class / training, by price component (tarting fee, registration fee etc) and by payer.
- Two more indicators have been added to the Payment Processor report: initiated payouts (currently being processed by payment processor) and payed out payouts.
For KIPA administrators
- Based on feedback from Tax Office TechSupport, companies have been removed from prizes´ tax office report. Only physical persons´ prize income is reported automatically.
